1. Scope of this privacy policy

This privacy policy describes how Vanavision e.U. handles the personal data that is collected and/or made available in the course of the contractual relationship for the execution of the contract or if you are interested in the products and services provided by Vanavision e.U.. It also describes how data is handled and recorded in the course of image processing and the collection, processing and use of personal data in connection with digital services.

Vanavision e.U. collects, processes and uses your personal data only with your consent for the purposes agreed with you or if there is another legal basis in accordance with the GDPR; this is done in compliance with data protection and civil law provisions. We only collect personal data that is necessary for the performance and processing of our services or that you have voluntarily provided to us.

  1. Use of the customer data provided

Vanavision e.U. attaches particular importance to the confidentiality and protection of personal data and customer and prospective customer data (hereinafter referred to as “customer data” for short).

This customer data includes:

  • Salutation, first and last name, academic degree
  • Home address, telephone number, e-mail address, date of birth
  • Proof of identification (identity card, driver’s license, passport, student ID, company ID, etc.)
  • General bank details for the execution of direct debit orders or orders placed
  • Customer service data, such as: telephone calls made (summarized in writing, no recordings or recordings), internal communication
  • Recording of access data for personal order/web accounts
  • Incoming and outgoing documents / correspondence

Vanavision e.U. uses customer data exclusively for the following purposes:

  • Customer service, responses to inquiries, product information and/or callbacks
  • For the purpose of contract performance (e.g. service provision, invoicing, etc.) and contract administration, in particular for the administration of customers or for the provision of products and services and for the preparation of internal statistics and audits (based on our legitimate interest for the purpose of business optimization)

  • To fulfill legal obligations – to establish, manage and process the business relationship
  • To strengthen the existing customer relationship or to establish a new customer relationship or to approach interested parties, including information about new product developments, events and our range of services (marketing)
  • To develop new products (based on our legitimate interest for the purpose of market and demand-oriented product development)
  • As support for authorities in the course of law enforcement
  • For re-targeting measures and online campaigns on Google, Facebook, LinkedIn and other marketing channels

Insofar as we collect your personal data from you, the provision of your data for all services is voluntary. However, if you do not provide your personal data, we will not be able to fulfill our mission, or not be able to fulfill it completely.

We will only process your data beyond this with your consent or on the basis of a predominantly legitimate interest on our part, or we will only use the data in pseudonymized or anonymized form.

  1. Duration of storage of customer data

We only store your personal data in our systems for as long as is necessary for the execution of a business transaction or for a possible future business relationship, if there is a legitimate interest or if you have revoked any consent required for storage. Customer inquiries are stored for a maximum of one year, accounts are deleted after two years of inactivity, as is data collected for marketing purposes. Personal data that is required due to statutory retention periods and for the enforcement of legal claims (e.g. compensation/warranty periods) is excluded from this. All customer data is therefore stored for the duration of the business relationship and beyond that for a maximum of the statutory retention periods (generally 10 years on the basis of Sections 207 and 208 of the Federal Fiscal Code).

  1. Data security

Vanavision e.U. endeavors to maintain the confidentiality and integrity of the personal data transmitted and to ensure the smooth processing of contracts and inquiries in compliance with a variety of data security mechanisms. The data is stored exclusively on servers within the European Union. We have taken appropriate organizational and technical precautions to ensure the security of your personal data. These measures serve in particular to protect your data from unauthorized, unlawful or unintentional access, processing, loss or manipulation. Despite all due care, it cannot be ruled out that information that you send to us via the Internet may be viewed and used by third parties. Please note that we therefore accept no liability for the disclosure of information due to errors in data transmission and/or unauthorized access by third parties (e.g. hacker attack on e-mail accounts or telephone, interception of faxes) for which we are not responsible.

  1. Rights of data subjects

The customer naturally has the right to information and correction of their stored data at any time. This applies insofar as the data can be directly assigned to the customer. If it is exclusively anonymous data, i.e. data that can no longer be assigned to the customer (this is the case if identification is not (or no longer) possible), Vanavision e.U. can no longer provide information.

The data subject is entitled to demand that Vanavision e.U. rectify any inaccurate personal data concerning them without delay. Taking into account the purposes of the processing, the data subject shall have the right to have incomplete personal data completed, including by means of providing a supplementary statement.

An official photo ID must be presented in order to exercise the rights of the data subject. In principle, such information is free of charge. However, Vanavision e.U. reserves the right to charge a reasonable fee for administrative costs for information that goes beyond the scope of the information provided (in accordance with the GDPR as amended).

If your personal data is processed on the basis of your consent, you can revoke this consent at any time with effect for the future.   1. Transmission of your personal data

In order to fulfill your order, it may also be necessary to transfer your data to third parties (e.g. service providers we use and to whom we make data available, etc.): Service providers that we use and to whom we make data available, etc.). Your data will only be forwarded on the basis of the GDPR, in particular to fulfill your order or on the basis of your prior consent.

Some of the above-mentioned recipients of your personal data are based outside your country or process your personal data outside your country. The level of data protection in other countries may differ from that in Austria. However, we will only transfer your personal data to countries for which the European Commission has determined an adequate level of data protection or ensure that all recipients have an adequate level of data protection by concluding standard contractual clauses.

Vanavision e.U. is authorized to involve other companies as processors. Accordingly, some customer data may be transferred to other data processors for the above-mentioned purposes. Vanavision e.U. concludes the necessary agreements within the meaning of Art 28 para 4 GDPR with the processor. This shall ensure that the processor enters into the same obligations that are incumbent on Vanavision e.U. on the basis of this agreement. If the processor does not comply with its data protection obligations, the contractor shall be liable to the client for compliance with the processor’s obligations.

Your data will only be passed on to carefully selected and contractually obligated processors, whereby we remain responsible for the protection of your personal data in this case as well. In addition, your data will only be transmitted by us to third parties who are subject to strict EU data protection law or who are/were obliged to comply with a corresponding level of protection.

Data will only be transferred to third countries outside the European Union if the European Commission has issued an adequacy decision for these third countries.

  1. Image processing

Certain areas of our company location and also events – both inside and partly outside – are monitored by means of video recordings, exclusively for the purpose of property protection and law enforcement, in the legitimate interest.

In the course of these recordings, it cannot be ruled out that data subjects may be recorded. The recordings are stored for 72 hours. If the end of the deletion period falls on a Saturday, Sunday, public holiday, Good Friday or December 24th, the next day that is not one of the aforementioned days is the last day of the deletion period. Image processing is generally limited to the entrance and exit areas of company locations and events, some outdoor areas (e.g.: facades and glass surfaces), as well as areas with increased risk potential (e.g.: gate areas, entrances, bar areas), increased traffic volume (e.g.: access to checkrooms) or security-critical areas (e.g.: access to IT systems) exclusively for the purpose of property protection and law enforcement.

With the help of processing protocols and special mechanical and technical access mechanisms, Vanavision e.U. ensures that only persons have access to recorded video material and can only evaluate it if necessary. All areas in which image processing is used are marked accordingly at the entrances.

  1. Collection, processing and use of personal data in connection with digital services

As part of its business purpose of 360° photography, Vanavision e.U. takes images of all kinds on which people and other personal data can be seen. In such cases, the persons and all personal data are made unrecognizable, whereby the previously personal data are excluded from the scope of the GDPR. If there are persons who nevertheless classify their data as recognizable, please inform us at [email protected]. Vanavision e.U. will make every effort, without any legal basis and completely free of charge, to make the data unrecognizable or, if necessary, to delete it immediately.

Cookies:

In order to make the Vanavision e.U. website user-friendly and to enable the use of certain functions, we use so-called cookies. These are small text files that are stored on your end device. Some of the cookies we use are deleted after the end of the browser session, i.e. after you close your browser (so-called session cookies). Other cookies remain on your end device and enable us to recognize your browser on your next visit (persistent cookies). We use Google Analytics and Google Tag Manager, a web analysis service provided by Google Inc (“Google”). Google Analytics also uses cookies. The information generated by the cookies about your use of this website is usually transferred to a Google server in the USA and stored there. However, your IP address will be shortened beforehand by Google within member states of the European Union or in other contracting states of the Agreement on the European Economic Area. Only in exceptional cases will the full IP address be transmitted to a Google server in the USA and shortened there. Google will use this information on behalf of the operator of this website for the purpose of evaluating your use of the website, compiling reports on website activity and providing other services relating to website activity and internet usage to the website operator. . Social-Media
